Job Opportunity: Admin Support

Are you a proactive individual with a passion for administrative work? Gail Budden Admin Solutions and Ask Charly Leetham are looking for a passionate Virtual Assistant to join our team. Responsibilities:

Email Management:

  • Reviewing, Categorising, and Responding to Emails: Manage multiple inboxes, ensuring efficient and timely responses. 
  • Organizing Emails: File emails and responses into appropriate folders with relevant tags. 
  • Invoice Handling: Email invoices received in the inbox to Servicem8/Xero. 
  • Customer Service: Identify and address customer service requests in the inbox. 
  • Booking Confirmation: Follow processes to send out booking confirmations. 
  • Warranty Claims: Follow up on warranty claims. 

ServiceM8:

We will provide training on how to use this tool. Your tasks will include: 

  • Job Creation: Create jobs from the invoices forwarded from the email. 
  • Job Status Monitoring: Check the status of jobs in the system. 
  • Collaboration: Work with our Senior Admin Team to perform other tasks as agreed. 

 General Admin:

  • Daily Handover: Provide a written handover at the end of each work period. 
  • Team Collaboration: Work with our admin team on other tasks as agreed. 

Requirements:

  • Initiative & Passion: A self-starter who shows initiative and passion for their work. 
  • Independent & Collaborative Work: Ability to work independently and collaboratively in a remote team environment. 
  • Problem-Solving Skills: Well-developed problem-solving skills with a willingness to ask for help. 
  • Communication Skills: Strong command of English with excellent written and verbal communication skills. 
  • Email Management Tools: Experience in using Outlook, Gmail, and/or Zoho Mail is desirable.
